Our programs are offered in paediatric hospitals across Ontario, in local communities, and at our medically supported overnight camps, offering year-round experiences that provide life-changing moments of joy, connection, and resilience.

But we’re just getting started. Today, over 40,000 kids in Ontario face serious illness, many without access to the psychosocial support they urgently need. THE OPPORTUNITY

Reporting to the Director, Donor Experience & Insights, the Coordinator, Campaign plays a key role in supporting the philanthropic goals of Campfire Circle. This role provides administrative and data management assistance to members of senior leadership and the philanthropy team.

The Key Accountabilities of this role include, but are not limited to:

Data Management:

1. Manage and maintain constituent records pertaining to major gifts prospect pipeline.
2. Review call reports and update constituent records to ensure accuracy and completeness.
3. Produce accurate, detailed pipeline reports, key metrics and other reports as required.
4. Support Philanthropy team’s portfolio management.

Campaign Coordination & Administrative Support:

1. Support Campaign Leadership by drafting and preparing correspondence and communications such as confidential profiles, briefing notes, stewardship letters and reports, proposals and supporting materials for donor/prospect visits, events, and solicitations.
2. Support the execution of campaign-related events, including donor briefings, tours and recognition activities.
3. Support day-to-day operations of the fundraising campaign, including timelines, task tracking and logistics.
4. Provides administrative and organizational support for the regular activities of philanthropy leadership, including taking minutes, prompting activity for leadership team, expense management and overseeing meeting logistics for team meetings and/or donor meetings.
5. Support fulfilling philanthropy’s donors’ stewardship and recognition requirements including the sending of cards, gifts, reports, and special acknowledgements.

Prospect Research

1. Provides research support for event attendees to help qualify them and inform strategies to build the pipeline.
2. Mine the donor database (Raisers Edge) to help maximize financial support by evaluating previous gift data, relationships, and other available information.
3. Supports the identification and preparation of prospect lists and related profile information for staff and volunteer review sessions.
4. Supports the development and delivery of prospect management procedures to ensure consistent recording to reflect activity and assists team in navigating data in the donor database.

QUALIFICATIONS

• Post-secondary diploma/degree, or equivalent experience. Studies in a related field such as fundraising is advantageous.
• Minimum two (2) years previous experience working in a fundraising/not-for-profit environment.
• Experience using Raiser’s Edge/RE NXT is an asset.
• Proficient in Microsoft Office (Word, Excel, and PowerPoint).
• Excellent project management, time management, and organizational skills, including the ability to handle multiple tasks independently, meet deadlines and prioritize assignments.
• Enthusiastic and highly motivated with strong administrative and problem-solving skills.
• Highly developed oral and written communication skills.
• Knowledge of research databases, such as iWave and Grant Connect, is advantageous.
• Clear police reference check and vulnerable sector screening.
• Current G2 or G class driver’s license and the ability to be covered by camp’s insurance policy, an asset.

To support our commitment to a safe, caring environment for children with serious illnesses and their families, all staff must attest to having received their childhood vaccinations and confirm a negative result in a two-step Tuberculosis ("TB") testing series. Seasonal boosters against Influenza and the most recent circulating strain of COVID are strongly encouraged. All staff must provide an updated criminal record check or Vulnerable Sector Screening and be currently eligible to work in Canada and for Campfire Circle.

WORKING CONDITIONS

• Hybrid work from home and work from open office setting with 2-4 days per week in the office on a regular basis.
• In consideration of the population Campfire Circle serves, the incumbent is a non-smoker.

COMPENSATION & BENEFITS

This position offers a competitive hiring range of $50,000 - $55,000. Campfire Circle is invested in our staff’s health, wellness and career growth. As part of the total compensation package for this role, we offer a comprehensive benefits package, including $4,000 annually for mental health practitioners (premiums fully paid by the organization with the exception of Long Term Disability), a wellness benefit up to $500 annually, an accelerated RRSP matching program up to 5% of base salary, paid vacation time plus a paid winter shutdown period up to eight days, flexible hybrid work arrangements, and on-going professional development.
