Job Description

Main Purpose of Job:
This is a role in the Agritech, Food and Drink Trade Team in the UK’s Department for Business and Trade (DBT) at the British Embassy in Tokyo. The main purpose of the role is to support activity that will increase UK exports to Japan. You will provide administrative support to the Agritech, Food and Drink team as well as other sector teams within the wider DBT Trade Team as required.

You will support the Senior Food and Drink Trade Advisor to provide advice, market information and support to UK businesses that want to enter and grow in the Japanese market, as well as supporting the expansion of relationships with key partners in the Japanese market.

The Department for Business and Trade operates in 108 countries. Establishing new relationships around the globe, DBT promotes UK trade to ensure the UK takes advantage of the huge opportunities open to us, securing and improving economic well-being, stability, and helping to create tens of thousands of jobs. His Majesty’s Trade Commissioner (HMTC) is responsible for Trade and Investment work in the APAC region. With over 280 staff in 14 markets, DBT APAC is a fast-paced, exciting place to work.

What the Jobholder will be Expected to Achieve:
The jobholder will perform key administrative tasks such as maintaining the contacts database and mailing list, managing the regular Agritech, Food and Drink Team mailshot, keeping the team’s inventory up to date and logistical support for events and other activities carried out by the team, as well as providing introductions to UK companies of DBT support and off-the-shelf information. The jobholder will also handle routine enquiries from Japanese companies in response to the mailshot and will support in scheduling meetings with potential Japanese partners.
・You will also provide administrative support for the team’s work to innovate and streamline our services, as the team explores options for providing more of our advice digitally, and making further use of new technologies such as AI.
・You will take initiative and maintain momentum, ensuring objectives are met efficiently in a fast-paced environment.
・You will effectively prioritise tasks, manage deadlines, and maintain accurate records to ensure your work contributes to smooth team operations.
・You will be determined, and use your initiative, to help colleagues solve problems.
・You will be prepared to support other sector teams (outside Agritech, Food and Drink) and remain adaptable to changing priorities and circumstances.
・You will be diligent and take forward data entry in an accurate and timely manner.
・You will be able to communicate clearly both orally and in writing with internal and external stakeholders.
・You will have good interpersonal skills to build and sustain a range of internal and external contacts at appropriate levels.
・You will understand how your work and your team support wider objectives in the Japan Country Plan.
・You will contribute to the wider work of the Embassy, including taking an active role in the crisis response plan and participating in crisis exercises.

Resources Managed (staff and expenditure):
None in general, but there is a possibility the jobholder might be involved in managing project funds for particular events or activities.

Desirable qualifications, skills and experience:
Experience working in a cross-cultural environment
Experience or knowledge of the food and drink sector in the UK and/or Japan
Understanding of trade promotion or marketing principles
