Well established and well known organization located in Downtown Fort Worth is seeking a full time in house Events Manager who will be responsible for numerous and varied small to large size events throughout the year. This person should be outgoing and detail oriented as they plan and facilitate planning meetings, work with vendors, and organize all event aspects from start to finish.
Key Responsibilities:
- Plan, implement and execute major special events.
- Manage guest lists, RSVPs, track data in database, financial and attendance goals, manage all event budgets.
- Work with senior leadership and designer on any design work for save the dates, invitations, event brochures and other related communication.
- Plan and implement a communication timeline for save the dates, mailed invitations, emailed invitations, event reminders, etc. and coordinate with the marketing team on brand approvals and social media marketing of events.
- Manage outside vendors, including venue, catering, parking and valet, floral and other set up and tear down details.
- Collaborate with hosts for events in private homes.
- Other duties as requested
Required Skills/Abilities:
- Ability to multi-task and maintain high levels of excellence.
- Knowledge of effective and efficient methods of organization, communication, negotiation and interpersonal skills.
- Detail oriented with meticulous planning and organization, the ability to handle multiple tasks under tight deadlines while still meeting budget, creative problem solver, excellent verbal and written communication, works well in team-oriented environment.
- Strong and consistent ability to prioritize activities within specific time guidelines and ability to handle multiple responsibilities and events within a specific time frame.
- Must be able to work with confidential information and keep information secure.
- Robust internal and external communication and customer service skills (written and oral).
Education and Experience :
- Undergraduate degree.
- Requires three to five years of successful event planning, preferably with an arts organization.
- A proven history of achieving and exceeding goals and the ability to work independently and within a team.
- Demonstrated successful event planning history.
- Strong computer skills in database management, word processing, windows-based software, Adobe products, and general office equipment.
Expected Work Hours:
This is a full-time position expected to work a minimum of 40 hours per week. Office hours are 9 am – 5 pm Monday – Friday however full-time employees are expected to work the minimum 40 hours to ensure work is completed on time.
