About the Role

The Capital Projects Coordinator will support the planning, coordination, and administration of capital projects across the portfolio. This role involves working closely with the Capital Projects Manager, Property Managers, vendors, and residents to ensure projects are executed on time and within budget. The successful candidate will manage communications, documentation, and logistics while traveling to properties approximately 50% of the time.

Responsibilities

Project Coordination

  • Assist with the planning, scheduling, and execution of capital projects.
  • Coordinate vendor site visits, obtain quotes, and prepare comparative analyses.
  • Track project timelines, budgets, and deliverables to ensure compliance with approved plans.
  • Prepare and distribute project notices and communications to residents and stakeholders.
  • Support the preparation of project status reports for leadership.

Budget & Administrative Support

  • Assist with developing, monitoring, and reconciling project budgets.
  • Review and process invoices, change orders, and related financial documentation.
  • Maintain organized project files, contracts, and records.
  • Prepare documentation to support reporting and audits.

Vendor & Stakeholder Relations

  • Act as a liaison between vendors, contractors, property staff, and residents.
  • Ensure vendor compliance with safety, insurance, and performance standards.
  • Support tendering processes and vendor evaluations.
  • Communicate project updates and coordinate logistics across multiple teams.

Resident Communication & Notices

  • Draft and distribute resident notices related to project activity.
  • Respond professionally and courteously to resident inquiries regarding project work.
  • Escalate concerns to the Capital Projects Manager as required.

Travel & On-Site Support

  • Travel regularly (up to 50% of the time) to properties to support project execution.
  • Provide on-site administrative and coordination support during key project phases.
  • Monitor progress, gather updates, and report back to leadership.

Qualifications

Education

  • Minimum: High School Diploma.
  • Preferred: College diploma in Project Management, Construction Management, Business Administration, or a related field.
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel is essential).

Experience

  • Minimum of 2 years’ experience in project coordination, property administration, or construction administration.
  • Experience with budgets, vendor management, and project scheduling.
  • Experience with Yardi or other property management systems is an asset.
