Who We’re Looking For

We’re hiring an Operations Manager to step in, as our current Ops heads into maternity leave — but this isn’t a short-term cover . We’re looking for someone who can step into the role now and stay on for the long haul, growing with the team and the position.

You thrive on structure but never at the expense of fresh ideas. You set the pace, lead by example, and keep things moving with a steady hand. You’re not shy about being in front of the camera from time to time, because you know your presence counts. You live in Calgary, have hobbies that keep life interesting, and know how to tell a story people remember. You enjoy good banter - over a cocktail, an iced matcha(or coffee) - and friends would call you fun, organized, and HYPER detailed; the one who makes it all look effortless.

The ideal start date is October 15 , with training alongside our current Operations Manager until January to set you up for success.

What You’ll Do

Operations & Project Management

• Own the day-to-day workflow so nothing slips through.
• Act as one of the first points of contact for the company, ensuring our team, clients and partners feel supported right away.
• Manage the company and projects queue to keep priorities clear and moving.
• Build and maintain workback schedules for both:
• Monthly deliverables like blogs, email marketing, social posts, SEO tasks, and reporting.
• Project-based work like branding packages, website builds, and campaign launches.
• Schedule and coordinate internal and external meetings, on-sites, and presentations.
• Manage platforms like Slack, Notion, Asana, and Google Drive to keep communication, file organization, and project management tight.
• Keep client-facing documents polished and on-brand.
• Build and refine processes where applicable, creating structure that scales with the team.

Client & Team Oversight

• Act as a steady point of contact for clients.
• Give the team direction, support, and what they need to do their best work.
• Uphold our communication standards inside and outside the agency.
• Foster a culture where people are confident, supported, and collaborative.

Executive Support

• Support leadership with client meetings, initiatives, and operational needs.

Additional Responsibility – Financial Support

• Comfortable assisting with light bookkeeping and accounting when needed (we use Wave).

Sales Support

• Jump in on proposals or client conversations when an extra set of hands helps.

What You Bring

You thrive on structure, providing clarity and keeping teams on track. You’ll be the thread that ties it all together — projects flowing, deadlines landing, and both team and clients supported from day one. Behind the scenes, you’ll keep the operation smooth; out front, you’ll keep the experience sharp and the vibe right. If you can pivot quick, keep details tight, and still see the big picture — you’ll fit right in. Even better if you bring a sharp line or bit of banter while you do it.

• 2+ years in operations, project management, or similar (agency background is a bonus).
• The ability to work with all kinds of personality types - leading with compassion, patience, and understanding.
• Experience leading teams, managing clients, and keeping operations sharp.
• Clear, confident communication - written and spoken.
• Strong relationship-building and customer service skills that make people feel looked after.
• Time Management: Organization that keeps multiple priorities moving without friction.
• A proactive, problem-solving mindset that doesn’t freeze when things change.
• An upbeat, optimistic outlook - you see the glass half full and bring that energy to the team.
• A self-starter mentality: You’ll try to figure it out yourself before asking for help.
• Must have a valid driver’s license and access to a vehicle for occasional in-person meetings.
• Bonus: Experience with Slack, Notion, and Asana 
• Bonus: Exposure to bookkeeping basics (using Wave) 
• Extra Credit: If you’ve played a team sport, or simply understand the value of setting your team up for the next play.
